Rekeep – Smart Facility Auditing & Performance Tracking
An advanced digital surveying technology developed specifically for a global facilities management industry leader to expedite site audits, performance rating, and asset inspections.
Project Goal
The objective was to create Rekeep Saudi Arabia’s very first all-encompassing auditing and management system for the field. Digitization of the manual facility surveying system was the primary aim of the platform. It would enable surveyors to capture data pertaining to technical assets during surveys and would also give administrators real-time performance metrics for various assets and systems.
The Problem
Before this digital turn, manual paperwork and spreadsheets dominated Rekeep’s facility surveys. Because of this, reporting was significantly delayed, tracking the status of assets (HVAC and chilled water pumps, for example) across various sites was problematic, and there was no consistent grading system.. There was no centralized system in place where management could see how each surveyor was doing in real-time or what the status of any pending permissions were.
The App Idea
The proposed solution consists of two main parts: the highly functional Surveyor Tablet App and the robust Admin Web Dashboard. Using the tablet software, field crews organize data by basement, floor, and room. As a result, it is possible to generate performance metrics for surveyors and scannable key performance indicators (KPIs) and to track/report on overall asset health.
Client’s Expectations
Rekeep needed a system that could easily manage complex facility structures, including Sites, Locations, and Assets. The platform had to allow detailed technical records such as model and serial numbers, along with clear performance ratings ranging from “As New” to “Poor.” At the same time, all data entered by field teams needed to sync instantly, so administrators could review and approve information without delays.
TekScrum’s Solution
TekScrum engineered a custom Facility Management & Audit (FMA) Suite.
- For Surveyors: We designed a tablet-optimized interface that supports detailed data entry such as “Asset Performance Scoring” and location-based tracking (e.g., Chilled Water Pump Rooms).
- For Admins: We created a central command center that monitors total locations, finished surveys, and outstanding approvals.
- The Intelligence Layer: We implemented a color-coded performance rating system (Blue/Yellow/Red) that allows management to identify failing facility systems at a glance, directly from the automated survey reports.
The Result
The Rekeep platform has improved the turnaround time for facility audits. Now management in Saudi with real time data access can supervise 50+ sites and dozens of surveyors. This leads to data driven facility maintenance where Performance Scores trigger actions to keep assets uptime and clients happy.
